Position Summary

The Manager, Meeting Planning and Events role reports into the Brand Partnerships & Events Activation department and supports meetings and events within the entire organization, specifically but not limited to: Retail Organization, Marketing / Executive Leadership. This position is responsible for simultaneously managing multiple events in all stages and intensity with complex budgets.

Responsibilities

  • Partner with leadership teams and marketing departments to determine event objectives to design, plan and execute programming to those objectives.
  • Control budget expenditures of $8-10 million annually, ensuring cost savings are considered and quality of programming is maintained.
  • Management of one direct report (Meeting Coordinator). Responsible for managing bandwidth and growth.
  • Research and recommend sites and venues.
  • Work with Procurement Team to negotiate contracts effectively by understand contract verbiage and standards for negotiation. Seek out cost savings opportunities by bundling projects and negotiating contracts.
  • Create budgets, manage expenses to stay within those budgets and reconcile event bills. Make recommendations to clients on cost-savings and provide final budget post-event.
  • Manage event logistics - theming, registration, attendee communication, transportation, timelines and budgeting.
  • Deliver events onsite - Working teams, attendee management, vendor relationships, timelines, and logistics.
  • Manage virtual events including writing statement of work, budget management, run of shows for rehearsals, recordings and livestream.
  • Ability to professionally consult and converse with individuals at various levels within and outside the organization both verbally and written.
  • Promote and maintain a positive rapport between external customers, teammates and service suppliers to enhance internal and external customer satisfaction during events.
  • Able to write error-free event copy and communications. Clear understanding of structure, detail, and tone of communications


Minimum Qualifications

  • Bachelor's degree; 6+ years of relevant experience
  • Management or direct/indirect leadership experience a plus
  • Ability to bring fresh ideas to promote positive change and present them in a professional manner
  • CMP Certification preferred
  • Ability to travel domestically and internationally as needed.
