Summary Description

The role reports to the Associate Director, Marketing Operations and provides overall support for the Marketing Team's operational functions. The Marketing Operations team collaborates with Marketing, Compliance, Medical, and other key cross-functional teams.
  • Lead and facilitate the review process for promotional materials through the Promotional Review Board (PRB).
  • Oversee the weekly PRB team meetings, transcribe comments during meetings, and manage meeting agendas.
  • Ensure all promotional materials comply with FDA guidelines and oversee their timely submission to the FDA's Office of Prescription Drug Promotion (OPDP).
  • Manage the production of promotional materials in various formats including print, digital, kitting, and sourcing.
  • Forecast and monitor print inventory levels, and purchase marketing materials as needed.
  • Ship marketing materials to the Field Team, conventions, and patient events.
  • Coordinate the translation of marketing materials into multiple languages through translation vendors.
  • Define project budgets, guide cost-saving measures, manage purchase orders, monthly accruals, and reconciliation.
  • Train and onboard internal and external partners on systems and processes.
  • Manage the purchase and renewal of subscriptions to print and online journal articles.
  • Partner with and manage vendors to ensure project objectives, budgets, and timelines are met.
  • Support the sales enablement tool, manage inventory, and respond to requests.
  • Create, pull, and disseminate reports for cross-functional teams.
  • Initiate and manage special projects to improve processes and drive efficiencies.

Skills and Experience
  • Bachelor's degree
  • 1-3 years of related experience in a pharmaceutical/biologics/ad agency environment
  • PRB management
  • Veeva Vault PromoMats expertise
  • FDA Pre-Clearance submission experience

Location: Role requires onsite presence 2 days per week at HQ in San Rafael, CA.
