Job Summary
The Director of Student Support Team Operations role is an integral part of the Student Support team, ensuring and amplify the success and efficiency of KIPP DC's Student Support team. The starting salary range for this role is $125,223-$138,403. This is a full time, on-site role based across campuses with an anticipated summer 2025 start date.

About the Role
The Director of SST Operations will be a multi-talented leader who maintains and optimizes systems, owns and is accountable for key processes like procurement, Medicaid, budget tracking, and providing strategic project-based support for KIPP DC's senior student support leaders. The Director of SST Operations will manage cross-functional team collaboration, planning, and SST operations. You will support KIPP DC's mission to create joyful, identity-affirming, inclusive learning environments and achieve extraordinary outcomes for students.
As a director, this position must also ensure adherence to established internal control policies and procedures and maintain compliance within the organization.
Location and Type of Work
This is an exempt position and will report to the Managing Director, Student Support, Primary. As a headquarters team that is focused on being responsive to our schools and meeting the needs of our students and families, we approach our work in a way that reflects these priorities. Schools operate in person and our students and families rely on us for in-person support, and this position will regularly provide on-site support to school teams, frequently partner with other headquarters teams, or regularly work in multiple locations. Because of the nature of the work, this role allows for occasional flexibility. This role will have approximately 20% flexibility to work remotely.

Responsibilities
Organizational Collaboration & Cross-Functional Coordination for the SST Team (50%)
- Drive internal communication and collaboration within the SST team and across functional teams; Generate the production of communications on behalf of senior SST team leaders, including all-staff communications, memos, reports, speeches, talking points, and presentations
- Drive the logistical planning and execution of major professional development (PD) strands (summer regional PD, school leader PD, PD days, school leader retreats, etc.)
- Manage pre-event details including, but not limited to: ordering food, assembling materials, managing attendance, communicating to attendees, contributing to joy factor
- Plan and managing day of logistics (calendaring, A/V, catering, vendor and event management, materials, etc.) for professional learning events
- Oversee and provide logistical direction for Student Support Team step backs and events.
- Conduct data analysis, including student and staff surveys and performance metrics to support the SST team. Prepare and analyze reports for SST leadership review.
- Manage externs, contractors, and part-time workers on student support projects
- Manage projects, deadlines, submissions, and communications related to external regulators including KIPP Foundation's One KIPP initiatives, the D.C. Public Charter School Board and Office of the State Superintendent.
- Ensure that students with IEPs that are transitioning between programs are properly set up in all of our platforms.
- Foster equitable engagement by enhancing feedback loops and use of data.
- Manage and negotiate contracts for special education services.
- Ensure deliverables of vendors and CBOs supporting the SST program; manage contracts to ensure they are executed and organized in a timely manner;
- Develop and maintain systems to track all active contracts.
- Ensure effective coordination and communication between team members to support contracted Related Service Providers
- Represent SST leadership in meetings with internal and external stakeholders to share and gather information
- Manage processes for KIPP DC finance team, external auditors, and consultants to execute KIPP DC's annual Medicaid billing cycle amounting to nearly $2mm in federal reimbursements each year
- Design systems to track, monitor, and communicate about the SST team budget; design systems to track the special education team's budget, invoices, and reimbursements to ensure the team manages to the financial plan and complies with internal controls and procedures; monitor the effectiveness of these systems
- Mange the Medicaid PERM (Payment Error Rate Measurement) point of contact for Medicaid Audits; troubleshoot with stakeholder groups to ensure timely payments and deliverables
- Ensure related service delivery for 100% of services are accurately reflected in special programs
- Manage compliance of Anybill and credit card transactions with SST budget requirements.
- Ensure adherence to procurement processes and guidelines in line with KIPP DC headquarters' financial protocols.
- Manage team purchasing; Organize centralized SST Team purchasing, including receiving quotes from vendors through to distribution, tracking, and invoicing of orders
- Oversee strategic planning and procurement for professional development for DAs, school psychologists, OTs, and SLPs.
- Design systems to provide routine updates to SST leadership about vendor and CBO performance
- Liaise with CBOs and vendors to ensure effective communication and deliverables
- Seek out and assess external data sources and research to inform and support KIPP DC's Student Support priorities; examples include D.C. legislation focused on Student Support initiatives, research in best practices, development opportunities, work from stakeholder groups within the DC region, etc.
- Analyze internal data sets in support of the Student support Team; examples include Student Support data and annual staff surveys (TNTP), in partnership with the KIPP DC Data Team; produce reports and analyses to drive decision making
Requirements & Preferences
Required Qualifications
- Bachelor's degree
- Minimum of 3 years experience in team coordination, communications, management, teacher leadership, operational leadership, and/or project management
- Excellent verbal and written communication skills
- High level of proficiency with tools such as Office 365 suite, Google tools, Slack, calendar tools, and project management tools, etc.
- Ability to work in a dynamic, fast paced environment and an eagerness to build relationships
- Strong judgment and decision-making skills
- Excellent strategic planning and prioritization skills
- 6+ years' PK-12 teaching or school-based leadership experience required
Preferred Qualifications
- Master's degree preferred
- PK-12 team leadership or management experience strongly preferred
- Demonstrable experience managing high-profile projects
- Experience in strategy, data analysis, project management, and interacting and influencing leaders
- Understanding of the special education database: Special Programs
