Primary Duties and Responsibilities

The Gift Services Manager is responsible for the timely and accurate processing of constituent biographical data within our dynamic CRM data platform, creation and documentation of related policies and procedures, and stated cross-training objectives associated with this activity. Focus will emphasize extraordinary data quality of identified records and data sets, to be routinely validated with various quality assurance routines.

Position will also assist the Director, Gift Services with routine Gift Services functions, including but not limited to non-standard gift entry, gift agreement support, month-end reconciliations and reporting, pledge reminders, gift receipts and acknowledgements, internal requests for reports, and acting as an assigned agent to our organization's work management (ticketing) system.

Key Functions:
  • Accept, process and validate daily submissions to create or update constituent data (including but not limited to constituent address changes, e-mail and telephone updates, committee participation, and/or other philanthropic interests) consistent with departmental policies and procedures, confidentiality guidelines, regulatory compliance and other applicable standards.
  • Primary liaison with other organization functions to respond to questions or provide recommendations for more effective and/or more efficient processes.
  • Participate in training of staff on processing constituent records data.
  • Contribute to the development of policy and procedure guides to establish data entry standards related to constituent records (ex: creating new records, updating contact information, decease processing, and investigating/resolving duplicate records).
  • Contribute recommendations for procedural changes to improve the efficiency and effectiveness of processes that impact biographical and gift records, in order to better to support the Hoag Hospital Foundation's advancement efforts.
  • Exercise a high level of focus on accuracy and reliability of constituent biographical and gift data.
  • Regular maintenance of constituent records in the donor database through various quality assurance routines.
  • Research of individual and corporate records through external resource channels related to general data integrity including but not limited to relationship confirmation, merging households, finding, or confirming emails, phone numbers and addresses for current donors.
  • Responsible for updating records both proactively and as requested, completing various data tasks as assigned. Ensure all data is accurate, complete, current, and are processed in a timely fashion.
  • Work closely with other organization functions on special projects related to database integrity. This includes but is not limited to: ACS and NCOA address processing, email unsubscribe and bounce processing.
  • Support the Director of Gift Services with routine reporting requirements and other tasks as may be assigned from time to time.


Education and Experience

  • Bachelor's Degree business, information systems or a related field, or 5 or more years of relevant work experience required.
  • Minimum 3-5 years' experience in a data-related or information systems capacity (including data entry), preferably with demonstrated record of advancement.
  • Minimum of 3 years' experience in a gift processing related role.
  • Minimum of 3 years' experience in a foundation or related non-profit setting is strongly preferred.
  • Salesforce CRM experience required.
