PRIMARY ROLE:

The Associate Director, Medical Affairs Operations, is a key role that requires a unique combination of both operational and project management experience. This position will have multi-faceted responsibilities and accountability for the execution of numerous departmental activities related to Emalex's products. Serving as a strategic partner to the Senior Director, Medical Affairs Operations and in collaboration with other members of the Medical Affairs leadership team, the Associate Director, Medical Affairs Operations will be directly involved in the development and integration of current and future Medical Affairs priorities and should possess advanced critical thinking skills. This position will contribute to several important Medical Affairs functions as well as integrate with other functions company-wide and will play a vital role in assisting with continuous process improvement to achieve maximum operational efficiency.

DUTIES AND RESPONSIBILITIES:
  • Provide strong operational expertise to internal and external stakeholders to execute on defined Medical Affairs and company strategies; ensure cohesive communication across all functions.
  • Participate in multidisciplinary teams to identify emerging trends and scientific intelligence; collaborate with Head of Medical Science Liaisons and Senior Director, Medical Affairs Operations to generate Insight Reports to roll-up to Senior Leadership.
  • Plan, support, and attend key medical congresses and other medical conferences on local, state, national, and international levels; provide operational support at company medical exhibit booths, symposia and other company sponsored events. Manage all aspects of event planning, including ensuring adequate staffing, and consolidating and reporting on insights from medical teams.
  • Work with IT and other cross-functional partners to establish and maintain a Medical Affairs website; identify and leverage digital innovation and other omnichannel strategies to optimize and expand how Medical Affairs communicates with external stakeholders.
  • Support and execute operational components in the review and processing of medical education grant requests inclusive of Continuing Medical Education grant requests, as well as investigator-initiated research grants.
  • Manage the KOL Customer Relationship Management System (CRM).
  • Provide operational support for Medical Affairs sponsored studies.
  • Track Key Performance Indicators (KPIs) and other metrics across all Medical Affairs activities, including capturing, dashboarding, and reporting, e.g., Medical Science Liaison KPIs and Publications KPIs
  • Assist in the design and execution of all aspects of Scientific Advisory Boards, including reporting on final summary findings.
  • Support and execute operational components of Medical Affairs participation in Medical, Legal, and Regulatory review (MLR) committee.
  • Create visual summaries of Medical Affairs projects and ongoing activities using Gantt charts, timelines, and other visuals suitable for presentations to senior leadership; Work cross functionally to identify partner timelines and dependences that may impact the timing of Medical Affairs deliverables.
  • Drive continual improvement in Medical Affairs operational excellence by proactively identifying and implementing strategies to overcome operational inefficiency, and by promoting best practices within Medical Affairs and with cross-functional partners.
  • Collaborate with Medical Affairs functional leads and internal partners to implement processes and maintain policies, SOPs, and systems to ensure operational excellence across Medical Affairs activities.
  • Develop onboarding and continuous training programs for Medical Affairs staff and third-party vendors.
  • Provide operational support for Medical Directors, MSL Team Lead and MSLs, Evidence Generation efforts, Publications, Medical Information, and HEOR related efforts.
  • Drive fiscal responsibility by adhering to Medical Affairs operational budget.
  • Collaborate with Medical Directors and other members of the Medical Affairs team regarding Medical Information response documents.
  • Perform other duties as assigned.

QUALIFICATIONS:
  • 5+ years in operations related roles; pharmaceutical industry and Medical Affairs experience preferred. Demonstrated career progression required
  • Proven ability to manage and execute multiple complex projects and initiatives simultaneously
  • Demonstrated ability to identify opportunities for continual improvement with a proven track record as a proficient problem solver
  • Ability to travel up to 40%
  • Strong verbal and written communication skills with the ability to develop cross-functional relationships and communicate with colleagues, business partners, stakeholders and upper management across varied styles and cultures
  • Must think critically and creatively, have strong organizational, analytical, and planning skills
  • Proficiency in the use of Microsoft Office Suite, Smartsheet, Office Timeline Pro+, and Adobe Acrobat

The annual base salary for this role is $175,000.00 - $190,000.00 This is a good faith estimate of the pay range for this position and offers will ultimately be determined based on various factors, including but not limited to, relevant work experience, skills, education, and certifications. As such, final compensation may fall outside of this range. This position will also be eligible for a discretionary bonus.
