Summary/Objective:
The purpose of the Project Manager position is to serve as the primary contact for the Customer and Sales Representatives to coordinate account activities and process orders through manufacturing. This position is accountable for managing all aspects of customer requirements from initial specification gathering through invoicing.
Essential Functions:
- Manage customer projects through all areas of operation. Establish timelines and manage project flow through pricing, specification creation, planning, job costing and delivery of each customer project.
- Maintain control and act as primary liaison of information, updates, and changes between the customer, the salesperson, and production staff.
- Identify potential problems, create solutions, and minimize any sales barriers, such as untimely responses in scheduling, estimating, and purchasing, which may delay meeting the customer's expectations.
- Coordinate information gathering and pricing for new opportunities with Customer and Sales Representative.
- When job is awarded, receive Purchase Order and final job specifications from salesperson or customer. Compare PO to the existing estimate. Note any deviations or changes and follow through with re-pricing and proper paperwork to capture any additional charges.
- Ensure that PO or approval to proceed has been received prior to materials being ordered.
- Coordinate creation of item numbers and generation of all specifications. This includes white samples, proofs, and draw downs.
- Manage customer approval of all specifications.
- Submit all necessary information concerning important details that the customer is requesting to the Planner for creation of job specification in the system.
- Explain, in detail, the requirements of each job to Production Planning, Pre-Press, Finishing and Press Room, as needed. This is done through Pre-Production meetings for complex projects.
- Prepare detailed notes and/or spreadsheets for complex pack outs or large kitting projects, as necessary.
- Work with Scheduling to ensure the proper deadlines are met.
- Communicate and /or distribute production schedule and delivery dates to Sales and/or Customer.
- Oversee the creation of the job bag for Manufacturing. Ensure all printing, finishing and kitting work instructions are clearly communicated so the job is produced to customer specification.
- Verify all necessary materials are customer approved and included in job bag prior to the start of the job.
- Track jobs through production and communicate any problems and/or changes to plant personnel and customers. Ensure projects stay on schedule. Report schedule concerns to Sales and/or Customer in a timely manner.
- Manage any AAs that may be necessary if changes occur once the job is started. This includes working with the team on updating internal estimates, job specifications and manufacturing schedules.
- Manage customer approval of revised specifications, pricing, and delivery dates as appropriate.
- Work with Customer Service to enter Ship Requests correctly and in a timely manner to ensure all items deliver according to customer requested dates.
- Work with Billing to ensure the correct invoices are prepared. Complete checklist for all billing requirements.
Competencies:
- Proficient in all Microsoft Office Tools
- Proficient in ERP system, once trained.
- High amount of direct interface with clients, typically without direction from Supervisor
- Requires minimal level of direction from Supervisor on day-to-day account support activities.
- Able to train other members of Project Management department
Physical Demands:
- Regularly required to talk or hear.
- Regularly required to sit, regular use of hands.
- Frequently required to stand and walk.
- Occasionally required to reach with hands and arms and stoop, kneel, crouch, or crawl and use foot/feet to operate machine.
- Occasionally lift and/or move up to 25 pounds.
- Specific vision abilities required by this job include close vision, color vision, depth perception, and ability to adjust focus.
- Ability to work under pressure with ever changing deadlines and priorities.
Preferred Education and Experience:
- 5 years of customer service experience
- 5 years of experience in the Print industry
