Responsibilities
- LEADERSHIP: Provides assistance to the Executive Director with the overall management of the department by providing oversight of administrative and support services. Assigns all staff committee appointments for divisional and departmental committees. Gives direction to departmental committee chairs. Schedules and facilitates department staff meetings. Attends the department's development and alumni engagement activities. Assists with departmental staffing plans and development and implementation of short- and long-term plans. Administers the department's student employee wage scale. Approves all merit increases and promotions for student employees. Implements, monitors, reviews and revises department policies.
- SUPERVISION: Supervises and evaluates one Assistant Director, one Project Coordinator, and one Administrative Coordinator. Is a dotted line supervisor to two Assistant Directors and a HR Generalist who lead embedded teams within the Department.
- ADMINISTRATION: Oversees and monitors the budgets of assigned areas. Works with budget administrators in preparing the budget reviews and operating within prescribed budgets. Approves department documents in Workday, AggieBuy, and Chrome River. Serves as a back-up signature for Texas A&M Foundation accounts. Serves as a member of the Budget Review Team, Capital Review Team, and the Pricing Review Team. Provides direction in regard to revenue and expenses within the department. Facilitates the processing of all departmental contracts and MOU's. Ensures all divisional updates and reports are submitted on time. Ensures that Rec Sports is accurately portrayed in the official university catalog. Liaison with Student Life regarding the Rec Sports response to the campus student death protocol.
- CAMPUS PROGRAM(s) for MINOR LIAISON: The Campus Programs for Minors (CPM) liaison ensures all documentation for programs under their purview, including Third Party programs, is on file prior to the start date and is retained in accordance with university rules. This includes background checks, child protection training documentation, waivers, terms of use and all documentation outlined in the annual risk requirements form submitted annually. Included in the required approval routing to ensure CPM Applications and forms are properly reviewed, routed, and approved prior to the start of the program. Conducts training and facilitation of incident reporting for programs under their purview. Facilitates and ensures that all after action requirements are followed including the timely submission of rosters and full payment of insurance and support service fees. Coordinates annual training as stated in Section 1.1.1 and Section 4.3 in collaboration with University Youth Programs.
- IT LIAISON: Serves as the primary department liaison for IT Services. Coordinates the department computer inventory and purchases new workstations when necessary. Manages the department Outlook address book and shared calendars. Manages all generic department email addresses. Provides oversight for the department Teams channels and electronic file management systems.
- ADVISORY COMMITTEE MANAGEMENT: Coordinates the Student Employee Advisory Committee and the Participant Advisory Committee. Recruits committee members, facilitates meetings, and follows up on feedback received.
- DEPT MISSION DUTIES: Serves on national, university, divisional, and departmental committees as needed. Attends local, state, and national workshops and conferences. Hosts and presents at various workshops. Maintains positive relationships within department, other university departments, community and vendors. Assists other university staff members as requested. Interacts with students, faculty, and staff for the benefit of carrying out the mission of the department. Other duties as assigned.
Qualifications
Required Education and Experience:
- Bachelor's degree or equivalent combination of education and experience.
- Eight years of related experience in sport management, leadership, business, and/or administration, including five years of supervisory experience.
Required Knowledge, Skills, and Abilities:
- Ability to multi-task and work cooperatively with others.
- Ability to effectively communicate both written and verbally; commitment to customer service.
Preferred Knowledge, Skills, and Abilities:
- Master's Degree in Physical Education, Recreational Sports Management, Student Personnel Services or a related field.
- Seven years in Collegiate Recreational Sports programming including five years' experience in upper-level management.
- Computer experience. (Software preferences such as Fusion and Connect2).
