Overview
This position will be responsible for day-to-day administrative and logistical support in the Executive Support Team, as well as physical security operation in the Physical Security team. The primary focus will be on fixed-asset management, archive management, vehicle management, business visitor reception and other supportive tasks assigned by team lead or department management.

Actual salary is commensurate with candidate's relevant years of experience, skillset, education and other qualifications.

The primary focus will be on fixed-asset management, archive management, vehicle management, business visitor reception and other supportive tasks assigned by team lead or department management.
Responsibilities

Fixed Assets Management
- Lead the Bank's Fixed Assets Management Program
- Consolidate Bank wide Fixed Assets budget preparation. Monitor budget execution and perform dynamic adjustment
- Maintain Fixed Assets inventory log and perform timely update in accordance with purchasing record
- Manage the Fixed Assets transfer and write-off processing
- Lead Bank wide annual review for Fixed Assets Physical Inventory
- Coordinate the bank-wide fixed asset management training
Archive Management
- Manage the Bank wide onsite Document Archive Program. Coordinate with relative departments for information security and other management duty related to document archiving
- Manage the Bank wide Physical Archive Program. Sort and arrange items in storage room and Bank museum. Promote the Bank branding by streamline the museum exhibit
- Manage the Bank's offsite archive warehouse. Coordinate with department for offsite document review and response.
- Update records retention schedule in accordance to regulatory and legal requirements.
- Coordinate the bank-wide archive management training
Vehicle Management
- Assist with corporate vehicle management and maintenance
- Act as chauffeur for Bank official business or guest courtesy service
Event Support and Business visitor reception
- Assist with logistic and facility support on important meeting of the Bank
- Monitor meeting room preparation; coordinate with facility service and IT department for audio and video support
- Assist with logistic arrangement for major Bank event
- Coordinate with relative parties on itinerary planning
- Participate in the business visitor reception activities
Physical Security
- Assist with management for access control system
- Conduct risk assessment to identify potential physical security vulnerabilities
- Review policies and procedures and make recommendations for improvements
Compliance
- Understand and implement bank related policies, laws and regulations
Qualifications
- Bachelor's degree is required
- At the Associate level, minimum 3 years of administrative work experience required; at the AVP level, minimum 4 years of administrative work experience required
- Fixed asset and archive management experience preferred
- Bilingual ability in English and Mandarin required

Actual salary is commensurate with candidate's relevant years of experience, skillset, education and other qualifications.
