GL / Sales & Use Tax Accountant

We are looking for a skilled, experienced and motivated GL / Sales & Use Tax Accountant in the semiconductor industry, located in Santa Clara, CA. In this role, you will be tasked with handling various tax-related responsibilities, including determining and filing tax liability, working closely with Accounting Manager, Accounting staff, as well as other departments throughout the organization to assist and support the accurate and timely processing of daily, monthly and quarterly functions/operations and financial data reporting and reconciliations.

Responsibilities:

Sales/Use Tax and Business Licenses
  • Manage filings for multiple states sales/tax filings via Avalara, as well as direct state filings. This includes setting up and maintaining the various online accounts with Avalara and the states, and communicating with them to resolve various issues. Handle tax audits.
  • Monitor state tax nexus and keep track of the company's registration requirements at the state (departments of revenue and secretaries of state), county (property and other taxes) and city levels; and to follow through on these as the company's business environment evolves.
  • Assess taxability and accuracy of sales tax of invoices for a variety of products/services provided by the company, taking into account factors like product category, exemptions, resale, direct shipments, etc. Review invoice batches for tax compliance.
  • Work with Accounts Receivable, Customer Service and customers to resolve invoice tax issues. Determine fixes required, such as debit and credit memos.
  • Document and track/update exemptions from various customers in various states.
  • Assess the need for use tax accrual on purchases and internally used inventory. Generate exemption/resale certificates for vendors for applicable purchases.
  • Monthly reconciliation of the sales/use tax payables account, including allocation to various states. Reconcile invoiced sales and tax figures with that of our Avalara sales tax service provider, make necessary adjustments, and review/approve tax amounts to be paid by Avalara.
  • Handle all necessary business licenses filings/renewals at the state, county and city entities.
  • Monitor evolving tax laws and regulations, analyze their implications on the company's tax position, and provide guidance to relevant departments.
  • Review and optimize tax accounting processes regularly, identifying opportunities for efficiency gains and automation.

Journal Entry Processing, Account Reconciliation and Month-End Close
  • Use/create spreadsheets, complex if necessary, and process data using these sheets to generate journal entries and reports for a wide range of Accounting functions, including bank reconciliation, prepaid amortization schedules, expense accruals, lease asset depreciation schedules, sales and cost accruals, etc.
  • Review of various transactions related to invoicing, journal entries, accruals, etc. on a regular basis.
  • Monthly GL reconciliation of a wide range of BS and IS accounts, with particular emphasis on Bank Account Reconciliation.
  • Post monthly journal entries by uploading data to the Sage Accounting application.
  • Generate monthly/quarterly/annual reports as required for our parent company and auditor, and for audits.

Fixed Assets
  • Set up profile of assets to be capitalized. This includes determining category and useful life, and the cost, taking into account factors like tax accruals, shipping and installation costs.
  • Manage asset list in the Sage Fixed Assets software (set-up/transfer/disposal).
  • Complete month end journal entries and reconciliations for all fixed asset accounts including depreciation, lease assets, construction in progress, etc.
  • Conduct Annual fixed asset audits with 7 office/warehouse locations (remotely) and IT dept.
  • Generate monthly/quarterly/annual reports as required.

Requirements

Education and Experience:
  • Bachelor's degree in Accounting, Finance, or related field
  • Minimum of 5 years of experience in a similar role within a mid to large-sized company (semiconductor industry preferred)
  • Strong knowledge of sales & use tax regulations and experience with state sales tax audits
  • Intermediate/Advanced Excel skills for calculations/analysis of tax, amortization and reconciliations in various accounts (pivot table, vlookup, xlookup, sumifs, concatenate, offset, if statements, complex formulas)
  • Experience using Avalara and/or ERP systems (Sage100), but not required
  • Excellence in professional written and verbal communication abilities
  • Strong problem-solving, analytical, decision-making skills and detail oriented with a focus on accuracy and compliance
  • Ability to prioritize and manage multiple tasks/responsibilities
