Operations Coordinator
Location: Playa Vista, California (in-person, five days per week)
As an Operations Coordinator, you will provide support to two operational leaders at a fast-paced and growing aerospace company. You'll be responsible for tracking cross-functional projects, providing day-to-day administrative support, making sense of a high volume of information and turning it into clear, accessible data and summaries that help our leadership make faster, smarter decisions, and-over time-taking ownership of projects of varying complexity.

Responsibilities
- Provide comprehensive administrative and project support to the operations team
- Maintain organized documentation related to recruiting, compliance, and company operations
- Lead support for recruiting operations, which include drafting job descriptions, coordinating updates with hiring managers, tracking candidate progress, scheduling interviews, and managing on-site visit logistics
- Manage platform posting of open roles (LinkedIn and related platforms)
- Ensure documentation of takeaway, follow ups and action items during hiring and operations meetings
- Coordinate legal document requests, maintain compliance files, and manage DocuSign workflows
- Monitor and track open legal and compliance tasks and maintain associated schedules
- Prioritize and route incoming IT and information requests; organize responses in coordination with technical team
- Liaise with vendors and internal stakeholders to ensure smooth execution of IT, procurement, and regulatory workflows
- Support employee experience initiatives including onboarding, team activities, and miscellaneous requests
- Manage office inventory and supplies on an interim basis until an office manager is in place
- Proactively identify gaps or inefficiencies in processes and suggest improvements
Qualifications:
- 2+ years of experience in an administrative, operations, project coordination, or similar support role
- Demonstrated ability to manage complex workflows and competing priorities, such as independently coordinating logistics for multi-department initiatives, maintaining tracking systems, or meeting tight deadlines on multiple simultaneous tasks
- Proven written and verbal communication skills, as evidenced by drafting internal communications, external correspondence, team updates, or leading meetings and presentations with cross-functional stakeholders
- Experience working across legal, HR, and operational functions, such as helping facilitate onboarding processes, supporting contract review cycles, or coordinating compliance-related documentation
- Track record of adaptability and initiative in fast-paced environments, including examples of quickly shifting focus in response to new priorities, taking on undefined tasks, or proactively solving operational problems without direct instruction
- History of handling confidential and sensitive information, demonstrated through responsibilities such as managing employee records, supporting legal document preparation, or working with executive leadership on discreet matters
Compensation & Benefits:
- 85,000k - 105,000k, Salary may vary with experience
