Responsibilities

Related Ross is seeking a Lease Management Manager to join its team This role is responsible for ensuring the accuracy and integrity of lease data across the portfolio, maintained within the Property Management system and in accordance with the department's Standard Operating Procedure. The Lease Management Manager reports directly to the Asset Management team, ensuring their directives are effectively implemented. Additionally, the role involves close collaboration with both ownership and management to deliver timely and accurate lease information that supports strategic business decisions.

Key Responsibilities
  • Supervise the lease management function for a portfolio of mixed-use properties (Retail & Office).
  • Lead and manage a team of two Lease Analysts, setting daily expectations, communicating directives from the Asset Management team, and ensuring adherence to standard operating procedures.
  • Oversee project workloads, manage deadlines, and coordinate team responsibilities during staff absences.
  • Review and abstract all leases and related documents entered in the Property Management System.
  • Review uploaded lease documents in Prophia and assist with resolving lease-related inquiries from the Prophia team.
  • Act as a gatekeeper for data integrity within the Property Management System.
  • Ensure accuracy of lease-related transactions, including monthly rent, insurance, and common area maintenance (CAM) charges.
  • Prepare and review billings for real estate taxes and CAM reconciliations.
  • Review and post tenant utility usage and other recurring charges within the Property Management System.
  • Prepare and review the commercial tenant income and expense sections of the annual budget.
  • Manage the review and distribution of monthly tenant billings and invoices.
  • Coordinate, review, and prepare miscellaneous tenant invoices in collaboration with Accounts Receivable and Operations teams.
  • Analyze and document accounts receivable discrepancies; liaise with tenants for corrections, adjustments, and payment resolutions.
  • Review and analyze delinquent tenant reports for ownership and operations teams, providing insights and recommended actions.
  • Prepare and manage lease correspondence, including critical date letters, default notices, lease violation notices, and collection letters.
  • Draft, review, and coordinate execution of estoppel certificates.
  • Track and monitor lease critical dates and ensure landlord obligations and deadlines are met.
  • Assist in interpreting lease language to resolve tenant-related issues and disputes.
  • Prepare and deliver financial analyses and critical lease reports to management and ownership.
  • Perform special projects and additional tasks as assigned.

  • JD Edwards experience a plus but not a necessity

Education and Professional Qualifications
  • Four Year degree in Business, Accounting, Finance or Paralegal Certificate
  • 7+ years of experience in Commercial / Retail or Commercial Lease Administration
  • Supervisory experience
