Serves as the initial point of contact in the mass filing and advanced case management, professional services, and administrative support to clients. Implements the effectiveness and best practices of Mass Filing Arbitration Case Management. Manages all mass filings and assists with complex case issues that may arise. Assesses the overall client experience to identify additional business opportunities.
Responsibilities
- Handles all "mass filing" cases, which can include, but are not limited to, cases administered pursuant to Mass Arbitration Procedures ("MAP"), submissions that involve multiple cases filed against the same entity, both within a short timeframe and over an extended period of time. Manages case files from submission through appointment of arbitrators. Solicits arbitrator candidate pools from local offices and prepares applicable panelist lists. - 30%
- Provides consistent and timely commencement experiences to clients. Liaises with the National Arbitration Committee (NAC) and the Legal Team to ensure issues in arbitrations are dealt with promptly and accurately. - 15%
- Manages the arbitration administration process from the receipt of demands through the appointment and pass-off, including managing all issues that may arise before an arbitrator is appointed. This includes but is not limited to, conducting and coordinating administrative calls with clients and providing administrative support to Process Administrators designated under MAP. - 15%
- Handles mass filing and MAP general inquiry calls and responds to website information requests. - 10%
- Provides consistent and timely pass-off experiences to local case managers, in addition to thoughtful, carefully vetted, and diverse strike lists as related to mass filings. - 10%
- Partners with management in conjunction with the Marketing & Communications and Business Development teams to ensure that panelists are being included on relevant strike lists. - 5%
- Builds relationships and assesses the overall client experience. Meets and communicates with management to discuss arbitration-related issues, including pertinent information and potential problems. - 5%
- Serves as a resource for case management on all questions including the preparation and approval of strike lists. - 5%
- Takes the lead in the organization's initial Disclosure process. Serves as a resource for less-experienced members of the Arbitration Practice Team. - 5%
- Other duties as assigned within similar scope.
Qualifications
- 4-6 years Comparable work experience in administration, legal and client service experience - Plus
- 3+ years For internal candidates, proven ability as a Senior Case Manager or similar position. - Required
- Mastery of the arbitration process and procedures. - Required
- Ability to lead projects and interact with multiple departments. - Required
- Mastery of practice areas and preferences of all JAMS panelists that will perform services within their markets so the most appropriate panelists are identified and recommended for each case. - Required
- Computer literate and proficient in all software programs required for the position. - Required
- Ability to organize, prioritize, and manage multiple responsibilities and tasks in a quick-paced environment. - Required
- Verbal and written communication skills. - Required
- Must have a strong understanding of the legal industry, including court processes and legal terminology. - Required
