Description:

The University of Alabama at Birmingham (UAB) is seeking a GRANTS ADMINISTRATOR-SOE to provide PRE AND POST AWARD GRANTS support and operational management of same in the School of Engineering. To serve as the primary interface to investigators and other University offices, with regard to research administration. Ensure timely and accurate submission of proposals in accordance with sponsor guidelines and UAB policies and procedures. To provide post award grants and contracts support to assigned personnel and oversee pre and post award grants management for all research activity in the school. To oversee effort reporting certification cycles, update and maintain pre and post award grants management procedures and resource library, and provide onboarding support and ongoing training to research personnel. Responsibilities:

1. Manages research grants administration for the School of Engineering, serving as the lead contact to Engineering research faculty seeking research administration services, and to UAB Office of Sponsored programs, other University Offices and external organizations and agencies.
2. Prepares, refines, reviews and submits fully populated and complete sponsored research proposals to UAB Office of Sponsored Programs on behalf of the school's faculty. Provides direction and explanation of pre-award requirements, per UAB policies and procedures, funding opportunity announcements, and sponsor guidelines. Calculates personnel effort on sponsored projects according to labor plan. Develops budget and edits required budget justification accordingly. Calculates and verifies project indirect costs and the appropriate exclusions. Effectively liaises with sponsor agencies, sub-award sites, internal groups and programs, and school leadership, faculty, and staff.
3. Reviews the drafts of all grant components and suggests revisions to administrative materials included in the application. Completes appropriate UAB Checklist and other UAB required forms, such as Responsible Person List (RPL), Indirect Cost Revenue Sharing Agreement, Cost Share Commitment form and other nonscientific supporting documents. Obtains internal approvals for proposal submission. Uploads nonscientific documents to submission portal if/as directed by investigator. Assists investigator with OSP-recommended changes and submits final proposal to OSP. Follows through to ensure submission to sponsor by deadline. Reviews all submissions for the School of Engineering.
4. Manages post award activities over the life cycle of grants and contracts in the school and serves as award manager for assigned department(s). Assist investigators to appropriately allocate costs to awards, consistent with the approved budget of the sponsor, and adhering to UAB policies. This includes but is not limited to: Responds to Notice of Award, initiates subcontracts and fee for service agreements and pays associated invoices, follows through on account creation, reconciles accounts on a monthly basis, resolving discrepancies; prepares monthly reports for PIs and communicates with them on any project-related issues; processes salary reclassifications, funding source changes, and cost transfers as needed, prepares sponsor invoices when required at department level, makes deposits and tracks cash applied. Processes and submits amendments and modifications as needed. Interfaces with investigators and internal and external constituents: problem solves and provides resolutions to issues related to the management of grants and contracts, as required.
5. Ensures the performance of responsibilities by staff in a manner consistent with investigator timelines by all applicable laws and regulations as well as UAB policies and procedures. Manages services to ensure that they are performed efficiently and result in high levels of satisfaction.
6. Serves as Department Effort Officer (DEO), for assigned department(s) and oversees effort reporting certification for School of Engineering research personnel. Provides training and guidance to research personnel regarding policies and procedures. Serves on research administration committees, joint efforts, and attends research administration meetings.
7. Provides onboarding support and ongoing training to research personnel. Updates and maintains school research administration procedures. Prepares financial and research grants and contracts activity reports for Director of Administration and Fiscal Affairs and Associate Dean for Research.
8. Interviews, hires, trains, and evaluates the performance of direct reports.
9. Perform other duties as assigned.

(Annual Salary: $63,875 - $103,800)

Qualifications

Bachelor's degree in a related field and seven (7) years of related experience required. Work experience may NOT substitute for education requirement.
