Qualifications:

Seasoned Executive Assistant with 5+ years of experience providing high-level administrative support to senior leadership and the Private Wealth consulting team. Demonstrated proficiency in Microsoft Office Suite, with particular expertise in PowerPoint, Word, Excel, and Outlook. Proven ability to manage complex calendars, coordinate domestic and international travel, and prepare accurate and timely expense reports (Concur). Skilled in representing executive-level staff with professionalism, discretion, and sound judgment while handling highly confidential and sensitive information.

Exhibits a high degree of initiative and the ability to operate both independently and collaboratively within team environments, including the Private Wealth and Administrative teams. Strong alignment with organizational goals and team objectives. Familiarity with Ultra-High Net Worth investment consulting preferred. Bachelor's Degree Required.

Private Wealth Team Responsibilities:
  • Provide comprehensive administrative and executive support to a 10-person consulting team, including scheduling, meeting coordination, and material preparation
  • Lead the organization and facilitation of internal and client meetings, including agenda creation, logistics coordination, and material distribution
  • Track and support consultants' attendance at industry conferences and related travel
  • Maintain accurate and up-to-date client records and data tracking in Backstop and other internal systems
  • Arrange travel and manage itineraries for assigned consultants, ensuring seamless trip execution
  • Support firm-wide and team-specific initiatives as needed
  • Prepare and submit monthly expense reports for assigned consultants
  • Manage and oversee special projects

Administrative Team Responsibilities:
  • Act as a collaborative member of the broader Administrative Team, providing backup and shared responsibilities, including phone coverage and mail distribution
  • Prepare, print, bind, and ship presentation materials and other client deliverables as requested by Consultants or Consulting Analysts
  • Assist with PowerPoint production and formatting in support of team presentations
  • Participate in and support company-wide initiatives and administrative operations
  • Maintain a high standard of responsiveness, professionalism, and attention to detail in all administrative functions
