Responsibilities
- Maintain and update employee records in HRIS systems
- Ensure personnel files are complete, accurate, and compliant
- Process new hires, terminations, and employee changes
- Track and report on employee leave, absences, and attendance
- Conduct background checks and verify employment eligibility (e.g., I-9s, E-Verify)
- Prepare and collect onboarding documents
- Support the administration of payroll changes (new hires, raises, terminations, etc.)
- Design and distribute materials for benefits orientations and open enrollment
- Coordinate daily benefits processing - including enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, loans, hardships and compliance testing
- Document and maintain administrative procedures for assigned benefits processes
- Coordinate transfer of data to external contacts for services, premiums and plan administration
- Respond to employee inquiries about benefits, policies, and procedures
- Assist with benefits enrollment and data entry
- Assist in administration of company medical benefits, including but not limited to, auditing invoices, coordinating with Finance for payment, reviewing/processing employee benefit enrollments and qualifying life event changes, act as point of contact for benefit brokerage firm
- Maintain records for open enrollment and life events
- Provide excellent customer service as the first point of contact for benefit, leave and retirement related questions
- Develop communication tools to enhance understanding of the company's benefits package
- Support internal audits and compliance with labor laws
- Prepare HR periodic reports
- Evaluate and revise internal processes to increase efficiency
- Ensure compliance with applicable government regulations
- Act as the liaison between vendors, brokers, and internal staff to ensure seamless communication and coordination
- Assist in coordination of Leaves of Absence in accordance with state and federal law - FMLA, CFRA, PDL, ADA, and other laws as applicable
- Assist with administration of company retirement plan, including but not limited to, funding accounts bi-weekly after payroll processing, notifying employees of plan entry as employees become eligible, and entering new hires into retirement system
- Ability to learn, grow and help in other areas of HR based on your past experience and knowledge
Requirements
- Bachelor's degree in human resources or related field or equivalent education and experience
- 5 to 7 years of progressive experience in benefits administration of employee benefits programs and experience coordinating benefits information systems
- Experience planning and managing annual open enrollment, benefits-related HRIS requirements, and benefit program metrics and reporting
- Strong knowledge of compliance requirements such as ADA: Americans with Disabilities Act, ACA: Affordable Care Act, ERISA: Employee Retirement Income Security Act, COBRA: Consolidated Omnibus Budget Reconciliation Act, FMLA: Family and Medical Leave Act, GINA: Genetic Information Nondiscrimination Act, etc.
- Exceptional Microsoft Excel skills including pivot tables, modeling, and VLOOKUP
- Exceptional organizational, interpersonal and communication skills
- Familiarity with Paylocity or other HRIS/HCM systems
