Mechanical, Industrial, and Mechatronics Engineering

The Department of Mechanical, Industrial, and Mechatronics Engineering offers a cutting edge graduate program leading to a Doctor of Philosophy (PhD) degree, a Master of Applied Science (MASc) degree or a Master of Engineering (MEng) degree for students who are seeking advanced study in a professionally based, applied program that provides opportunities for research in Thermofluids, Manufacturing, Materials, Solid Mechanics, and Industrial Engineering.

The Opportunity

Are you a detail-oriented professional who strives for operational excellence? We are seeking an experienced Administration Manager to lead and oversee the administrative and operational functions of our Department. In this pivotal role, you will work closely with the Chair, Assistant Chairs, Program Directors, and Faculty, providing essential information, analysis, and decision-making support. You will also collaborate with the Office of the Dean and central administrative units to implement departmental policies, specialized initiatives, and ensure seamless day-to-day operations. Key responsibilities:
  • Lead and manage all departmental operations including course scheduling, registration processes, faculty support, and policy implementation to ensure efficiency and compliance with university standards.
  • Provide analytical and administrative support to the Chair and academic leaders, coordinate departmental planning, meetings, and events, and act as a liaison across internal and external stakeholders.
  • Administer departmental budgets and accounts, monitor expenditures, generate financial reports, and ensure compliance with fiscal policies and procedures
  • Oversee recruitment and management of faculty, staff, and student employees; manage academic workload assignments, ensure compliance with collective agreements, and support onboarding and performance management.
  • Coordinate departmental space planning, equipment needs, and scheduling; oversee renovations, exam logistics, and ensure optimal use of physical resources.

Qualifications
To help us learn more about you, please provide a cover letter and resume describing how you meet the following required qualifications:
  • Post-secondary university degree in Business Administration or related discipline (Equivalent experience or a combination of equivalent experience and education may be accepted in place of education).
  • Minimum of 5 years of experience in progressively responsible administrative and / or operational management positions, with a minimum of two years' experience in a supervisory and leadership capacity, in an educational/academic environment.
  • Advanced knowledge of current software programs and applications as they relate to the ongoing administration of the Departmental office, including Administrative & Financial Management, TAI, Course Management, Student Information and Office Automation
  • Human resource management experience
  • Excellent oral and written communication
  • Sound judgement in assessing complex situations involving faculty, staff/ and students
  • Knowledge of financial, accounting methods and University policies, procedures and practices
  • Analytical reasoning skills
  • Excellent organizational, time management skills and ability to think strategically
  • Superior decision making skills
  • Ability to provide motivation and incentive to staff
  • Availability to be on campus 3 days per week on a regular schedule, and availability to be on campus full time (5 days per week) during the first three weeks of each semester (September, January, May), or peak periods to support operational needs.
