Position Description
The City of Seattle is seeking a dedicated and detail-oriented Program Management Assistant (Management Systems Analyst, Assistant) to support the Conveyance Inspection Program within the Seattle Department of Construction and Inspections (SDCI). This position will play a critical role in assisting in the analysis, modernization, and integration of inspection systems, improving administrative procedures, and supporting program improvements related to the safety and certification of over 9,000 conveyances, including elevators, escalators, lifts, and more. The Program Management Assistant will work closely with the Conveyance Program Manager to ensure efficient operations, streamline reporting processes, and enhance the overall performance of the inspection and permitting program.

Job Responsibilities
The Program Management Assistant will collaborate with the program manager and the Conveyance management team to research and compile detailed information on special assignments related to the Conveyance Inspection Program; this includes analyzing administrative and operational problems within the program's inspections and permitting and working with the program manager to implement practical solutions. Additionally, this position will assist in developing and executing reports to track the program's progress, identify trends, and propose improvements to enhance the program's overall effectiveness.

The Conveyance Inspections Program Management Assistant will:
- Collaborate with the Conveyance Program Manager to review and revise inspection procedures to meet updated codes and safety standards.
- Organize, update, and maintain detailed records of conveyance equipment inspections, certifications, and corrections, ensuring all data is accurate and up to date.
- Assist with coordinating various phases of the administrative support process and provide recommendations for system improvements.
- Collaborate with cross-departmental teams to implement new practices, policies, and technologies within the Conveyance Inspection Program.
- Perform other related duties as needed to ensure the smooth operation of the program.

Qualifications
- Two years of course work in business or public administration, finance, computer science or a related field (or a combination of education, training and/or experience that provides an equivalent background required to perform the work of the class).
Successful candidates will possess the following experience, knowledge, skills, and abilities:
- Be a nimble systems thinker.
- Experience working in regulatory programs, particularly in the area of inspection or conveyances (elevators, escalators, etc.).
- Familiarity with data management and business systems.
- Ability to contribute to process improvement initiatives and recommend practical changes to improve program operations.
- Ability to understand building codes, specifically in the context of conveyance equipment.
- Ability to adapt to evolving program needs and work in a dynamic environment.
- Strong ability to gather, organize, and analyze data to identify patterns, issues, and opportunities for improvement.
- Experience preparing reports and recommendations based on research and analysis.
- Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, etc), and familiarity with data management systems.
- Strong attention to detail with the ability to handle complex and sensitive information accurately.
- Ability to work independently and as part of a team, while managing multiple assignments.
- Strong written and verbal communication skills, with the ability to prepare clear, concise reports.
