Position Summary
The Lease Coordinator provides lease management and administrative support to the Concessions and Business Development Department. This role requires someone who is highly organized and proactive in providing essential lease management and administration support. This role encompasses a broad range of responsibilities, including meticulous tracking of lease compliance, the establishment and maintenance of comprehensive physical and electronic filing systems, diligent document collection, and active participation in concession audits. Effective communication of compliance matters, along with the preparation of meeting minutes, forms a crucial aspect of this position. The Lease Coordinator will also be responsible for the collection and accurate input of insurance documentation and deposits, as well as providing support for various special projects and contributing to the planning and execution of Concessions Department events.

Position Description

  • Understands and remains current on individual concessions agreements, airport rules and regulations, and other governing policies and effectively applies concessions agreement language, rules, regulations, and policies to assigned tasks.
  • Assists lease managers with lease/contract set up, close-out procedures, and ongoing monitoring of the terms of concession operator agreements, airport rules and regulations and tracks concession operator lease terms to ensure operators remain in compliance.
  • Confirms required concession operator reports and documentation are submitted by established deadlines.
  • Identifies upcoming, pending, outstanding, and non-compliant lease matters and proactively reports such matters to appropriate lease managers. Follows-up with lease managers and operators to ensure required documentation and information is included in lease files.
  • Manages Sales Force platform for Concessions
  • Supports Strategic Partnership Program initiatives
  • Maintains and manages physical and digital files. Ensures pending and outstanding items are proactively identified for and reported to lease managers in a timely manner.
  • Conducts concession operator audits for compliance, analyzes results, and creates a plan to mitigate findings and potential MAC liabilities.
  • Requests and obtains required items from concession operators such as deposits, certificates of insurance, reports, and other contract documentation.
  • Reviews submitted documents for compliance issues, files lease documentation such as certificates of insurance, letters of credit, and bonds, and enters critical dates into electronic files.
  • Tracks and manages street pricing auditing compliance.
  • Recommends and coordinates the implementation of policies and procedures for contract management and assists in developing new policies and procedures.
  • Tracks and manages security deposits as well as related critical dates.
  • Recommends and coordinates the timeline of lease actions such as reporting, compliance visits, request for proposals, and notice filing.
  • Cross departmentally communicates contract status, as required, through Business Review Team meetings, Business Vetting meetings, written reports, or other necessary means.
  • Creates processes, checklists, and timelines for operator onboarding, lease monitoring, compliance tracking and concession operator reporting.
  • Assists with document management including digital file creation.
  • Maintains and manages lease files for the Concessions Team.
  • Assists with the collection and distribution of material related to public inquiries including data requests.
  • Supports department initiatives and projects and facilitates documentation of critical meetings.
  • Exercises flexibility and positively approaches other duties as assigned.
  • Provides proactive communications to the team for required items.
  • Proposes new ideas and recommends improvements to processes, workflows, and policies.
  • Attend inter-organizational meetings and participates, as assigned.

MINIMUM REQUIREMENTS
  • Associate's degree in administration, business, paralegal studies or a related field
  • Four years of experience working in a project management support or lease/contract coordination role
  • In lieu of a degree, six years of experience working in a project management support or lease/contract coordination role
  • Experience entering, managing and reporting data
  • Excellent organizational skills with attention to detail and follow through
  • Experience independently and accurately composing memoranda, letters, and other written communication
  • Ability to effectively multi-task, prioritize workloads, and meet deadlines
  • Intermediate skill using Microsoft Word, Excel, Outlook, PowerPoint

This position is eligible for a hybrid work schedule after serving two months of the probationary period. MAC's hybrid work schedule includes two days remote and three days onsite. One of the onsite days must be a Monday or Friday and all employees are required to be onsite on Tuesdays. I am aware of this policy and remain interested in this position.
