Job Title:Studio Coordinator
Location: San Francisco, CA- hybrid schedule (3 days per week)
Duration: on-going contract- 40 hours/weekly
Pay Rate:$40.00-$45.00/hr
About the Role
We're looking for a detail-oriented Studio Coordinator to help manage photography and video production for launch campaigns and promotional shoots. The ideal candidate excels in fast-paced, collaborative settings and is skilled at juggling multiple projects at once. This position focuses primarily on still photography (70%) with some video support (30%).
Responsibilities
Support the Photographer by preparing and submitting retouching estimate requests.
Collaborate with internal teams and external partners to monitor estimates, process invoices, and collect receipts, ensuring projects remain within budget.
Keep an up-to-date roster of external crew members and manage onboarding for new hires through the payroll provider.
Contribute to the development of cross-functional timelines, guiding projects from initial concept through to launch.
Coordinate all aspects of pre-production for internal photo and video shoots, including creating shot lists and call sheets, scheduling crew, arranging catering, organizing equipment and props, and facilitating pre-production meetings.
Partner with cross-functional teams to request and manage the delivery of product and formula samples for photography purposes.
Assist the stylist and Art Director with preparing props and products for shoots.
Provide on-set support during in-house shoots by coordinating crew logistics, setting up catering, preparing the studio, and managing equipment setup and teardown.
Help manage externally produced shoots by tracking project timelines, budgets, product/prop requirements, and asset delivery.
Oversee the retouching calendar to ensure assets are delivered on time to design, marketing, and digital asset management (DAM) teams.
Maintain a detailed and accurate studio calendar while ensuring the studio remains clean, organized, and efficient.
Manage and organize digital assets on platforms like Bynder and Dropbox, including keyword tagging and updating usage rights for beauty and model imagery.
Monitor studio equipment inventory, ensuring cameras, lighting, grip, and supplies are properly maintained and organized.
Partner with the Photographer to research and implement strategies that enhance studio efficiency and streamline workflows through automation.
Requirements
1-2 years of experience supporting photography shoots.
Have a basic knowledge of Adobe Workfront, Photoshop, Bridge and Figma
Proficient in Excel
Experience managing digital assets and understanding usage rights
Ability to lift up to 30 lbs when needed.
Able to quickly adapt to changing schedules, new marketing needs and unexpected situations.
Have a strong interest in the skincare industry and an understanding of the creative process in a studio environment.
