Residential Real Estate Operations Manager for a Luxury Agent (Westside)

Lauren Ravitz is seeking a highly organized, professional, and proactive full-time Director of Operations to join the team. This integral role will serve as the operational backbone of a high-volume, fast-paced real estate business, ensuring seamless execution across all areas of support, systems, and client service. The ideal candidate is a self-starter who thrives in a dynamic environment, has exceptional communication skills, and is capable of anticipating needs, managing multiple priorities, and maintaining composure under pressure.

This position involves a blend of administrative, operational, and client-facing duties, offering the right candidate a unique opportunity to be a key player behind the scenes of a top-tier real estate business.

Responsibilities

What You Will Do:
Transaction Management: Oversee all aspects of buyer and seller transactions from initial client contact through closing, ensuring all deadlines are met and documents are compliant and complete
Listing Coordination: Prepare pre-listing and listing packages, including CMAs, listing agreements, seller disclosures, property profiles, and past MLS research
Client Support: Serve as the primary point of contact for all client communications. Provide white-glove service through timely responses, professional correspondence, and clear coordination
Scheduling & Calendar Management: Coordinate showings, inspections, appraisals, and vendor appointments
Field Support: Attend showings, vendor walk-throughs, and client appointments as needed, primarily during weekdays with occasional weekends
Vendor & Team Oversight: Liaise with inspectors, contractors, and other vendors. Coordinate with the marketing assistant, transaction coordinators, and team support to ensure all tasks are completed accurately and on time
Operations & Systems: Create, refine, and maintain internal systems, checklists, and workflows to ensure streamlined operations across all facets of the business

Work Location:

This is primarily an in-person role. While you will be based out of the Brentwood office most weekdays, there is flexibility to work remotely one day per week. However, the position also involves a fair amount of driving and attending appointments throughout the Westside of Los Angeles-including showings, vendor meetings, and client visits-regardless of office schedule. Candidates must be comfortable being out in the field and available for in-person support as needed.

Qualifications

Who You Are
Have a valid Real Estate License, 2- 3 years of real estate assistant experience (contract experience preferred)
High level of professionalism, discretion, and client service mindset
Impeccable attention to detail and ability to anticipate needs before they arise
Positive, friendly demeanor with strong relationship-building skills
Flexible, solutions-oriented, and calm under pressure
Able to work independently and take ownership of outcomes
Tech-savvy and proficient with tools such as Microsoft Office Suite, MLS, ZipForms, DocuSign, Canva, and CRM platforms
