Incumbent in this position demonstrates sensitivity to the service population's cultural and socioeconomic characteristics.

Duties and Responsibilities

Leadership:
  • Provides guidance and leadership to staff to emphasize the importance of the program achieving high standards of quality, internally and through public and private sector partnership.
  • Works with other organizations in the community to foster collaboration.
  • Overseas and monitors agreements for the purchasing of goods and services and assures that bids are solicited in accordance with state and federal regulations.
  • Reads management and leadership materials and program-related materials to keep abreast of development in social service.
  • Facilitates the continuing professional development of all staff as part of the commitment to excellence.


Fiscal Management:
  • Controls and approves all financial transactions and allocations according to pertinent guidelines and procedures within the approved budget.
  • Maintains inventory of program assets according to pertinent guidelines.
  • Develops and maintains programmatic balanced budget.
  • Monthly reviews reconciliation and corrections of variances on financial statements.
  • Monthly prepares and submits expenses related to contractual requirements

Programmatic Services:
  • Maintain compliance to all Agency, Government, Funding Sources, COA and Catholic Charities requirements regarding client's confidentiality (charts/files).
  • Ensures compliance with data entry in required database.
  • Develop an atmosphere and work processes which treat all consumers with dignity and respect.
  • Participates and reviews One on One Supervision logs to ensure compliance with regulatory body requirements.
  • Create an internal manual for each programmatic function based on regulatory guidelines and update as needed.
  • Participates at weekly staffing and other program meetings, as needed.
  • Ensure the program adheres to outcomes and requirements set by regulatory bodies.

Development Operations
  • Effectively convey the organization's mission, vision, and programs to potential donors.
  • Cultivate a network of dedicated donors and volunteers by researching and engaging individuals, corporations, and foundations that may be interested in gift-giving.
  • Ensure gift records, donor information, and other fundraising components are up-to-date and updated on an ongoing basis.
  • Ensure lists, campaigns, and records are correct, usable, and maintained.
  • Manage fundraising-related information to track donor giving and volunteer engagement.
  • Plan and execute fundraising initiatives to help the agency meet financial goals.
  • Meet with Senior Management, Directors and/or Coordinators to discuss opportunities and obstacles.
  • Monthly provide donor and gift listings and other reports to the Executive Management Team.

Catholic Campaign for Human Development
  • Build relationships with CCHD funded organizations and other community groups.
  • Coordinates, monitors and evaluates the CCHD grant process with USCCB staff and local community groups.
  • Promotes and coordinates the annual CCHD collection in the Archdiocese of Miami.

Catholic Relief Services
  • Annually, coordinates and promotes the Operation Rice Bowl Collection in the Archdiocese.
  • Ensure that all parish donations for Operation Rice Bowl are appropriately submitted and reconciled.

Parish Social Ministries
  • Acts as a liaison, source of information, and assistance to clergy, staff and parishioners to respond to presenting needs.
  • Works with parishes to help identify social and pastoral needs within the parish and its local community.
  • Empowers parishes to fulfill the church's mission of justice and reconciliation through an organized response to identified social and pastoral needs.
  • Engages in outreach activities in the community for the purposes of identifying and developing responses to meet the needs and gaps in services of the most vulnerable members of the community.

Human Resources Management:
  • Supervises and assists staff in training, professional development, and evaluations.
  • Conducts performance evaluations and/or performance improvement plans for all staff directly under his/her direct supervision.
  • Reviews performance appraisal evaluations and performance improvement plans for all staff members.
  • Conducts supervisory meetings with staff

Administrative:
  • Monthly, quarterly, and/or annually complete reports as required by regulatory bodies timely and accurately.
  • Facilitates opportunities for staff training and development in accordance with regulatory bodies.

Grantsmanship:
  • Completes and submits grant proposals for renewal of current funding and new funding possibilities.
  • Develop collaborative agreements or make attempts to enter into collaborative agreements with community agencies.
  • Maintains a record of agreements and ensures timely renewals, as needed.

Performance Quality Management:
  • Participates in PQI activities.
  • Annually creates and submits Tactical Plan.
  • Reconciles UC data.
  • Distributes, collects, and aggregates UC Satisfaction Surveys.
  • Completes corrective action regarding deficiencies.
  • Quarterly completes and submits PQI reports.


Risk Management:
  • Completes and submits timely and accurate Incident Reporting and any other required documentation as per Catholic Charities and other regulatory guidelines.
  • Responsible for following up on all incidents reported timely and accurately.
  • Develops and implements a system to identify and perform routine repair and maintenance.
  • Ensure monthly safety inspections and fire drills are conducted.
  • Submits Safety Checklist and Fire Drill forms to Risk Management within the specified time frame.
  • Monitors the compliance of safety and health precautions and monitors staff compliance according to all governing bodies' policies and procedures.
  • Must be available to work beyond your regular schedule in crisis situations or if there is a declared agency emergency.

Additional Duties:
  • Communicates any problems and concerns of the program in a timely manner to include but not limited to; Supervisor, and CCADM Administration.
  • Participates in all related training, in-services, and staff meetings as required by COA and funding /licensing sources.
  • The incumbent will comply with all policies, procedures, and requirements necessary to perform the functions of this position.
  • Ability to work a flexible schedule including early mornings, late evenings, and some weekends.
  • On-call 24 hours 7 days a week unless otherwise specified by supervisor.
  • Performs other duties as assigned by supervisor.

Physical Demands:
  • The work is usually sedentary, but may require long periods of standing, walking and /or bending and some light lifting. The work is mostly performed in a secure office setting.
  • Travels locally and out of state.

Educational & Experiential Requirements:
  • Bachelor's degree
  • A minimum of 5 years of professional experience related to grants administration, or program planning and coordination in the social services field.
