THE ROLE:

The SEMI Foundation is seeking an experienced and mission driven Leadership Operations Associate with excellent organizational and communications skills to support executive leadership. This role is key to keeping the organization focused on priority execution. This role interfaces with external partners and internal team members directly and is expected to build good working relationships at all levels. Responsibilities include managing multiple calendars, arranging travel, and managing expenses; meeting preparation and organization; preparing reports, planning offsites and team events, supporting program managers, and handling information requests. This is a dynamic, fast-paced organization and this position requires a high-energy individual with strong administrative and interpersonal skills. This position reports to the Executive Director and communicates regularly with internal staff, executive leadership team and occasionally the Board of Directors and external clients.

The Assistant will need to be creative, energetic, and able to thrive in a fast-paced environment with multiple deadlines and projects at any given time.

This is a full-time position which reports to the Executive Director of the SEMI Foundation and will be based in our HQ office in Milpitas CA

  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Team-oriented approach, service focus, and the ability to manage ambiguity while thinking outside of the box with a sense of urgency.
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy

PREFERRED QUALIFICATIONS:
  • 5-7 years of experience supporting a senior-level executive or team
  • Associate or bachelor's degree in business administration, management, communications, or related experience
  • Prior experience with Board engagement
  • Experience in the semiconductor industry
  • Experience with finance operations, grants and fund development, or communications


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Support to Executives 50%
  • Maintain up-to-date awareness of executive obligations to proactively assist and/or anticipate needs
  • Prioritize conflicting needs, handle matters expeditiously, proactively and confidentially, and follow through on a variety of special requests to successful completion, often with deadline pressures
  • Schedule meetings for executives using knowledge and understanding of the key business priorities of the team and leaders at the SEMI Foundation. Actively make decisions about the timing of meetings, suggest attendees that may have been overlooked, and provide overall collaborative support to make the meeting and the team more effective.
  • Proactively manage complex calendars spanning multiple time zones, ensuring attendance of executive(s) and other key attendees in support of priorities
  • Provide a broad variety of administrative tasks including, but not limited to, organizing travel arrangements, preparing and processing expense reports, preparing itineraries and agendas, and compiling documents and presentations for meetings.
  • Draft presentations, emails, and other executive-level correspondence.
  • Effectively answer inquiries of executive leadership and stakeholders and interact effectively with them by phone, in writing, and in person

Support to Foundation Team: 30%
  • Organize internal and external team meetings, video conferences, and conference calls, including preparation of meeting rooms, contacting attendees, facilitating their attendance, and ensuring that required informational materials and equipment are prepared in advance.
  • Be a problem solver while supporting company culture
  • Work on special projects related to program KPIs or business operations, which require careful consideration, research, comparison, and evaluation of multiple data sets or different options and make decisions or provide recommendations for a course of action.

For example:
  • Work with event management to plan effective offsites.
  • Track down requested data on email volume and response rate
  • Advise team members of a meeting objectives and how they can better meet them
  • Coordinate team-building events


  • Accomplish work in an efficient manner with an upbeat, "can-do" attitude, even when managing competing priorities.

Support to Marketing & Communications: 20%
  • Provide administrative support to the Marketing Manager. Schedule meetings, do research, track the calendar for newsletters, send reminders, maintain company & SEMI/F logos
  • Make website updates on semi.org
  • Interface with staff and marketing on deadlines and content delivery
  • Support administration of career portal as needed
