We are seeking a highly motivated Executive Assistant who desires to be part of a fast-paced, collaborative, and growing team. The ideal candidate will be able to manage multiple high-priority tasks, interface regularly with executive leadership, and exercise independent judgment when handling highly confidential and critical details. This position reports initially to the CFO and is fully on site in our Brighton, MA office.

Responsibilities:
- Provide critical and timely administrative support to the CFO and senior executive officers at Compass
- Confidentially manage essential administrative tasks including calendar management and travel arrangements, and proactively troubleshoot scheduling conflicts
- Coordinate and schedule meetings with internal and external stakeholders, including Compass executives, academic and industry partners, vendors, investors, investment bankers, potential collaborators, and the Board of Directors
- Manage sensitive documents and finalize presentation materials for use in executive meetings, including maintaining contract database system
- Demonstrate excellent professional business communication skills with internal and external stakeholders to coordinate meeting logistics
- Work with the Chief of Staff to prioritize incoming meeting requests, identifying urgent and important commitments, and manage internal board and business calendar
- Utilize the ERP system to prepare expense reports, file business expense documents, and manage purchase orders
- Collaborate across the organization to coordinate logistics for various types of internal and external events or meetings, such as: G&A group meetings, All Company meetings, board meetings, executive dinners, advisory boards, company outings, and conferences
- Place and manage catering orders for corporate functions such as company meals, board meetings, happy hours, and onsite guests
- Implement creative solutions to further streamline administrative operations and improve work processes to ensure business is conducted as efficiently as possible
- Exercise judgment and organizational skills when handling highly confidential and critical details, especially when delivering under tight deadlines
- Prioritize a variety of tasks for executives to successfully achieve Compass goals and objectives
- Complete ad-hoc administrative projects as assigned
Qualifications:
- 4+ years of experience in an administrative role, with 2+ years supporting executive-level leaders
- Bachelor's degree or equivalent required
- Experience working in a scientific organization such as a biotechnology or pharmaceutical company is highly preferred
- Strong attention to detail with the ability to work flexibly and balance multiple project objectives in a fast-paced, cross-functional, collaborative work environment
- Proven experience maintaining confidentiality regarding sensitive information; must operate discretely with a high level of integrity in all work and interactions
- Demonstrated creative problem-solving skills, agility, organizational and interpersonal skills
- Ability to build and maintain effective relationships with internal and external stakeholders
- Excellent prioritization, written and verbal business communication skills are a must
- Demonstrated proficiency in ERP systems, and relevant programs such as Microsoft Office Suite (especially PowerPoint), Adobe Acrobat, Expensify; ability to adapt to new technology or systems
